System overview
Babcock Inventory Operations Guide
The Babcock Inventory system combines an offline-first iPhone field app with connected Inventory Management. All signed-in Babcock staff use the same inventory permissions.
Staff access
One simple staff workflow
Babcock staff can capture, review, correct, and report inventory without selecting an application role.
- Every staff login has the same inventory permissions.
- Use the iPhone app for physical counting and Inventory Management for browser review and reporting.
- Staff may add another staff login or connect an iPhone from Staff & Devices.
- System maintenance for Apple and Cloudflare remains separate from daily inventory work.
Standard procedure
One controlled data flow
- 01
Capture inventory on iPhone
Use Start Quick Count for repeated products or New Item for a photo-first manual record.
- 02
Finish and verify the field count
Review quantity totals and follow-up flags before leaving the storage area.
- 03
Confirm field synchronization
Before leaving the count, confirm that Inventory Sync reads Up to date. Offline changes remain safely queued on the device.
- 04
Review in Inventory Management
Open Inventory Management in a supported browser, confirm Saved status, correct data from photos, process exceptions, and print the report.
- 05
Verify the reviewed inventory
Allow the iPhone to receive the latest revision and confirm representative corrected records.
- 06
Archive outputs
Export the CSV and save the manager report as a PDF under the approved inventory date.
Preflight
Before every inventory count
- Charge the iPhone or iPad and confirm that adequate storage is available.
- Open the camera once and confirm that camera and photo permissions are granted.
- Confirm whether this is a new inventory snapshot or a continuation of the same completed audit.
- Define the count area using a short operational name such as Freezer or Dry Storage.
- Confirm that Inventory Sync reads Up to date before ending the count.
